Dentist Dr Stuart Malone was an early adopter of EXACT practice management software, having used it as a young dentist with a visionary manager when it first came out in Australia. When he bought and opened his own practice, Riverview Dental, 12 years ago, choosing EXACT was an obvious choice.

The practice is currently using the latest version of EXACT V11, with the addition of automated SMS recalls and EasyPost in the last year. Given their ethos of staying at the very forefront of technology the practice has also recently chosen to go paper-free, adding Clinipad to their offering. This is an electronic form system which works seamlessly with EXACT V11 to capture and store patient information, leading to better record keeping, reduced administration time and cutting out data double handling.
“I was always attracted to Software of Excellence because it seemed to be ahead of the crowd in terms of technology. That has proven to be true, and I couldn’t have made better choice than investing in EXACT.”
Riverview Dental sees a broad range of patients, and has three dental chairs and two hygienists. Stuart himself may see up to 25 patients in one day, so the ability to have all patient information at his fingertips is invaluable.
“I need things to be simple and straightforward and I need to be able to access patient information in a flash.”
There is no room for missed appointments or Fail-To-Attends (FTA) at Riverview Dental, with appointment books full almost all of the time. However, when an appointment is cancelled at the last minute, they find utilising the automated Short Notice Cancellation List an invaluable way to fill up the rare appointments that become available.
“Right now I’m booked three months in advance,” says Stuart. “But that’s not overwhelming now that we have such good systems for automated recalls. Using SMS recalls and EasyPost means no one is forgotten and FTAs are rare. If an appointment comes up, the Short Notice Cancellation list sorts it out.”
The ability for patients to quickly confirm appointments via SMS has been a very useful addition to the practice, as it keeps them up to date with real time information on who’s going to walk through the door for their appointment. They find that once people confirm via text they are unlikely to fail to show.
“With EasyPost and SMS recalls, we have a robust system for keeping up with our patients. Patients love it and feel looked after. It also frees up administration support staff to do other tasks and take care of business management."
Despite having been an EXACT user so long, Stuart still finds that there is more to learn within the system with the updates and is an avid user of the complementary Software of Excellence Education Modules. He also talks to the Software of Excellence support team a few times a year, and finds them excellent to deal with.
“I can’t fault the Software of Excellence team. They’re pleasant, knowledgeable and helpful.”
Riverview Dental may be housed in a historic building, but says Stuart, “That belies the technology inside.
